Funded until 31 March 2020.

Contractual Hours: 37 hours per week. A job share will be considered.

We are delighted to have created a number of new posts at Learning Disability Wales and are currently recruiting a Bilingual Administrator to provide full administrative support to Learning Disability Wales through the medium of English and Welsh.

Responsibilities

1. Administration:

1.1 Organise meetings on behalf of the CEO and Managers.

1.2 Minute internal and external meetings when as requested.

1.3 Use a variety of software to produce correspondence and documents, presentations and spreadsheets as required.

1.4 Ensure that contacts held on our mail lists are maintained and up to date.

1.5 Manage new membership applications.

1.6 Assist with updating our website content and uploading information.

1.7 Arrange for all minor repairs and maintenance to building and office equipment to be carried out.

1.8 Maintain an adequate supply of office provisions.

1.9 Maintain the general office filing and archiving.

2. Meeting, Training and Events Administration

2.1 Process delegate bookings, confirmations and invoicing in accordance with established office systems

2.2 Make all necessary venue and travel arrangements.

2.3 Liaise with trainers to ensure relevant information is exchanged and support provided.

2.4 Assist in the promotion of our events and training services to relevant organisations and people.

2.5 Maintain monitoring and reporting systems .

3. Meeting Room

3.1 Manage room hire bookings, confirmations and invoicing in accordance with established office systems

3.2 Prepare and service the room as required for LDW and its customers.

3.3 Promote the meeting room availability or discuss reciprocal hire when appropriate.

4. Reception

4.1 As the main point of contact for the organisation, respond to all telephone calls and action requests or queries where appropriate.

4.2 Ensure all general email enquiries are responded to or forwarded to the appropriate department.

4.3 Open and distribute incoming mail and post outgoing mail.

5 Health and Safety

5.1 Act as first aider and fire warden.

6. Other

6.1 Actively contribute to the organisations work.

6.2 Undertake a range of duties to ensure current and future service provisions are met.

This post is full time but a job share would be considered.
